About the UPSC upload rules
The Union Public Service Commission uses one time registration (OTR) on upsconline.nic.in for the Civil Services, NDA, CDS, CAPF, Engineering Services and other exams. UPSC's rules are more relaxed on file size, 20 KB to 300 KB, but stricter on content: each side of the photo and signature should be between 350 and 1000 pixels.
The rule that catches most candidates is that the photograph must show the candidate's name and the date on which the photo was taken, printed on the photo itself. A photo without them can be rejected. The tool on this page has a "Name and date below photo" option that adds a clean white strip with both, so you don't need a studio or a photo editor.
UPSC photo and signature size table
| Document | Pixel size | File size | Format |
|---|---|---|---|
| Photo with name & date | 500 x 600 px | 20 to 300 KB | JPG / JPEG |
| Signature | 700 x 350 px | 20 to 300 KB | JPG / JPEG |
| Photo ID card (PDF) | Any (PDF) | 20 to 300 KB |
Photo and signature: each side between 350 and 1000 px. Candidate's name and date of photo must be printed on the photo.
How to make the UPSC photo
- Take the photo in daylight, facing a window, against a plain white or light wall.
- Keep your face straight with both ears visible. Remove caps and dark glasses.
- Open the tool above, tap Photo with name & date and choose your photo.
- Drag the photo so your face sits inside the oval guide, then press Create file.
- Turn on Name and date below photo and type your name and the date the photo was taken, exactly as the form needs.
- Check that the result shows 500 x 600 px and 20 to 300 KB, then download it.
How to make the UPSC signature
- Sign with a black or dark blue pen on plain white paper. A thick, steady line reads best.
- Take a photo from straight above in good light, without your shadow on the paper.
- Tap Signature above, choose the photo and crop tightly around the signature.
- Keep Make paper pure white on. It removes shadows and grey paper.
- Download the file. It will be 700 x 350 px and 20 to 300 KB.
No paper nearby? Use Sign on screen in the tool and sign with your finger. Some exams want a signature on paper only, so check the notification if you are unsure.
Photo ID card (PDF)
Scan or photograph every page, add them to the PDF tool above in order, and it will join them into one PDF of 20 to 300 KB. Make sure every word is readable before you upload.
Common reasons UPSC uploads get rejected
- The file is a few KB over the limit because it was compressed on a different site that counts KB differently. This tool stays safely inside both ways of counting.
- The photo is stretched because it was resized without cropping. Always crop to the right shape first, as the tool does.
- The background is busy or dark. Use a plain light wall, or the FormKit app's white background option.
- The signature is faint or on lined paper. Sign darker on plain paper.
- The file is PNG or HEIC instead of JPG. Files made here are always JPG.
